RFI Q&A Workflows

This guide provides step-by-step instructions on how to navigate and utilize the RFI Q&A Workflows in BuildFlow. It covers everything from creating a new workflow to adding people and submitting the workflow. Tip: A Q&A "Question and Answer" Workflow routes a question to the appropriate responsible parties for the answer. Accepted answers are automatically distributed to selected users based on the Answer Distribution list.

Creating a New Q&A Workflow

1. Click "Q & A Workflows"

Tip: Tip! The Default Workflow can be used to route all RFI Questions and Answers if no specific project specifications sections or drawing disciplines are assigned to the Q&A Workflow.

2. Click "New Workflow"

3. Click "Workflow Title" and name your workflow.

4. Click this checkbox to assign a spec section CSI code to this workflow. When a new RFI is generated from one of the selected specification CSI code sections this workflow will be automatically selected.

5. Click this checkbox to assign drawing disciplines to this workflow. When a new RFI is generated from one of the selected drawing disciplines this workflow will be automatically selected.

Tip! Specification section CSI codes and drawing disciplines are automatically generated from the Drawings and Specification folder once they have been uploaded to the project. You can also add non project specific spec section CSI codes as needed.

6. Click "Add People" to assign users a Roles to route the question and answer through the Q&A Workflow.

7. Click "The Company" you want to assign the user's role for.

Tip! If you do not see a Company or User in this list go to Project Contacts and add them then they will be available for selection.

8. Click the checkbox of the user you want to assign the role.

9. Click this dropdown to select the user's role.

10. Make sure you have all you user's and roles checked before you hit submit.

11. Click "Submit"

Alert! Roles:

  • RFI Administrator: The RFI Administrator is typically the construction manager / general contractor. The RFI Administrator can provide the answer or issue the question to the Answer Administrator to provide the answer. The RFI Administrator approves and distributes the answer or rejects the answer, which returns the RFI back to the Answer Administrator for a revised answer until the answer is accepted by the RFI Administrator.
  • Answer Administrator: The Answer Administrator is typically the architect or engineer of record on a project. The Answer Administrator can request input from others (For Answer Input role) to assist with providing the answer back to the RFI Administrator.
  • For Answer Input: For Answer input is typically the engineer of record, other engineers and/or consultants on a project depending on the nature of the question. For Answer Input can provide input to answer the question as well as suggest the answer to the Answer Administrator.
  • Answer Distribution: This is the distribution list for the accepted answer.

12. Click "Add People", If you need to add a user to the distribution of the RFI but does not need a Role.

13. Click the "Company Name" and then the User.

14. Click "Submit"

15. Click "Submit" to finalize the Q&A Workflow

How to Edit a Workflow

16. Click "Q & A Workflows"

17. Click the "Q&A Workflows" you want to edit.

18. Click "Edit"

19. Click the X to remove the user from that Role.

20. Click the X to removed the user from the "Answer Distribution".

21. Click "Submit" to finalize your changes.
