File Search Across Projects

File Search Across Projects

This guide provides step-by-step instructions on how to perform a file search across projects. It covers various search criteria such as file name, folder, project status, location, document type, file type, and discipline. This guide is useful for anyone who needs to efficiently search and manage files across multiple projects.



Account Wide File Search

1. Click "File Search" on the top Navigation Bar.

2. Click the "File Name Search" field and type a file name like "Riser" that you are looking for.

3. Your can search all Files if you have files highlighted.

4. By clicking "Folders" You will be search for a specific folder name.

Tip! If searching folders will only show you the folders you have found and by clicking them will bring you into the project where the folder is located!

5. Click "Project Status"

6. This will allow you to choose if you wish to search Active Projects and/or Archived Projects.

7. Click "Location"

8. This will give you all Locations within you Account and let you narrow down the file search to a specific location or even a specific floor within that location.

9. This will give you all "Locations" within you Account and let you narrow down the file search to a specific location or even a specific floor within that location.

10. Click "Document Type"

11. Click here will let you filter down to a specific document type, Equipment or Submittal Type.

12. Click "File Type"

13. This will let you search for a specific File Type (Ex: DWG, CAD, PDF, BIM or XlSX)

14. Click "Discipline"

15. This will give you all the Disciplines we have for your Account that are linked to you drawings and plans.

16. These are your Selected Search Criteria and by clicking the "X" will remove it from the Search Criteria.

17. Click "Search" to generate your results.

Search Results

18. Click the "Filter Search Results..." field and enter keyword to search for files within the Search Results.

19. Click this checkbox to select all the files.

20. All files highlighted are your selected files.

21. Click here to resize the columns.

22. Click here to sort the column. Click and hold button down to move the column.

23. Click here to filter the Search Results by selected items with the column.

24. Clicking the filter will give you all the filterable results based on that column - I don't think that is right.

Tip! Just like your any managed files in BuildFlow Green files are you latest of the file and anything in blue has been superseded.

25. By clicking the file will let you view the file.

26. You can click any file on the left side and it will load up view of the drawing on the right side.

27. To Close the Panel after viewing the files click "Details"

28. If you click to update in the "File History ID" column to see where the file originated from and it will bring you directly into the file history folder in the project it is associated with.

29. Click "File Search" will bring you back to your saved File Search.

30. By clicking the "Project Name" column will bring you directly into that Project.

31. Click "File Search" to return to you saved File Search.

File Viewer Navigation

32. View the file in the Details Panel or in a new window.

33. Click here.

34. Click "Annotate" will give you tools to mark up you file

Tip! All files marked up with Annotate, Shapes and Insert will make a copy of the pdf and never overwrite the original file. The markups will live under the Annotations tab within the file.

35. Click "Shapes"

36. Click "Insert"

37. Click "Measure"

38. Click this image to view more information about this file. 

39. This will show you all the Versions of the file, any Annotations, Attachments (You can upload any pictures or files you want associated with this drawing), Folders and Search Tags.

40. You can download directly the file or share the file via Share Link.

Generate Share Link

41. Click the files you would like to add to your Share Link.

42. All highlighted files will be included in you Share Link.

43. Click "Generate Share Link"

44. Click this text field and name your share link.

45. Click Save to My Share Links. If "Yes" this link will show up on you homepage under "My Share Links". If "No" it will be generated one time.

46. Click "Go"

47. Click "Copy Link" and add it into an email or wherever you need to send the URL to.

48. Click "Open Link"

49. This will bring you to the Share Link page you are sharing.

50. Click "Download" to download all the files associated with the Share Link or you can order Hard Copies.

51. Clicking the Download link will bring up this message. You will be able to find the file once it is done downloading in you download folder on your device.
