CloseOut Items and Categories

CloseOut Items

  1. Items are grouped within Categories.  

New Item

  1. The location of the Item within the Master List. 
    1. An Item must be in at least one Category.
  2. The order the Item will be displayed with the Category.
  3. Enter a more detailed description about the item if needed.
  4. Enter a Form Name if the item is associated with a specific form. This can useful when searching for specific forms. 
  5. Selected Search Tags will be applied to all of the files that are added to this Item.
  6. Find Files will search the Submittals module for files in the selected Submittal Types.
  7. Find Files will search the Submittals module for files in the selected CSI Codes.
  8. Uncheck any row if you want to customize it for this Item otherwise it will inherit whatever is set in the Category the item is in.
  9. Sets the date Items in this Category will appear in the Ball In Court based on the selected Schedule Milestone.
  10. Specify at what phase of CloseOut that Retainage should be withheld for Items in this Category
  11. Specify if this Category is required or optional.
    1. Always Checked- The is checked and can not be unchecked.
    2. Unchecked - The item is optional.
    3. Default Checked - The items is checked but can removed if not required. 
  12. Add an Item to a Checklist Items to provide high level summarized reporting. 
  13. Add Custom Fields to an Item when applicable (example: Mechanical Permit can have a Permit Number and Expiration Date).
  14. Project Categories filter the Master Item list based on Project Type.
  15. Filter Items by departments within your organizational structure. 
  16. Assign the Responsible Parties and Roles for the Category / Item. 
    1. Submittor - Submit files for the CloseOut Item. 
    2. Reviewer - Has to review the files and provide a review status for the CloseOut Item.
    3. Approver - Approve or reject files for the CloseOut Item.
    4. Acceptor -  Provide final acceptance or rejects the files for the CloseOut Item. 
  17. The Item will always be on the CloseOut Home screen of the selected users for easy access. 
  18. Do not turn on these options unless this Item is related to Equipment (see Equipment Turnover Setup).
  19. We recommend turning on if this item is Shop Drawings or As-Builts. We will apply Document Management to files same way we do for Drawings and Specifications (Document Management charges apply).

CloseOut Category

Categories organize groups of related items. They simply the management of Items within the Category. 


New Category

  1. The location of the Category within the Master List.
  2. The order the Category will be displayed in the Items List.
  3. The abbreviation for CloseOut Item numbering in the Log (example: FAC-ARC-002-0). For help on setting up a Category refer to the Item instructions above.
